Invoice Detail

When to open this page

  • You’ve sent an invoice and need to mark it paid, issue a credit note, or void it.
  • You must reopen a sent invoice as a draft revision.
  • Finance wants to see totals, credit notes, or export warnings at a glance.
  • You need the audit trail, PDF versions, or a read-only polish preview.

Access it via Invoices → View (sent/paid/void invoices land here automatically) or Resume editing links on revision banners.


Header actions & badges

  • Status badge: Draft, Sent, Paid, or Void. A second badge shows the invoice type (Standalone, Progress, Final).
  • Open / Download PDF: instant links to the current PDF.
  • Claim form: appears when the invoice has a saved progress claim snapshot.
  • Mark as paid: visible while status is Sent. Confirms manually that the customer paid.
  • Create draft revision: for Sent/Approved/Paid invoices. Saves a snapshot, reopens the invoice as a draft, and drops you back into Step 4 so you can resend it.
  • Issue credit note: available when there’s an outstanding balance. Enter the credit amount (with optional GST) and a reason; the credit note then appears in the overview tab.
  • Void invoice: cancels the invoice completely. Void entries cannot be edited or credited later.

If a draft revision exists you’ll see a yellow banner with a Resume editing link back to Step 4.


Tabs overview

Overview

  • Invoice summary cards: Subtotal, GST, discounts, outstanding balance, issued/due dates, payment terms, pricing mode, customer/contact/site data, and invoice type.
  • Export warnings: highlights allocations that still have warning messages (e.g. over-claiming). Resolve them before exporting.
  • Internal notes: shows the Step 4 notes field for staff reference.
  • Credit notes: table listing every issued credit (number, issued date, totals, GST, reason).

Versions

  • Lists all saved PDFs (automatic snapshots from sends and manual saves). Each row includes version number, timestamp, author, and download link.
  • Use this when you need to reference what the customer received before a revision.

Activity

  • Timeline of status changes, job allocation exports, credit notes, voids, and polish edits. Each entry shows actor, timestamp, and details pulled from the audit log.

Polish Preview

  • Renders the same document you see in Step 4, but read-only. Handy for confirming what was sent without re-entering the wizard.

  • Switch tabs via the buttons under the banner; the page remembers your selection if you refresh.


Handling revisions

  1. Click Create draft revision (Sent/Approved/Paid only).
  2. Optionally add a reason in the dialog.
  3. The invoice status flips back to Draft. Use the Resume editing link in the banner to return to Step 4, tweak the builder/polish, and Mark as sent again.
  4. The Versions tab keeps both the old and new PDFs, so you always have a paper trail.

Issuing credit notes

  • Available for Sent/Approved/Paid invoices with an outstanding balance.
  • Enter the total credit amount (inclusive of GST), optionally specify the GST component, and add a note.
  • The overview tab immediately lists the credit and adjusts the outstanding balance. Use multiple credit notes if needed; the system tracks each one individually.

Voiding invoices

  • Use Void invoice if work was cancelled or a draft should never be issued.
  • Voiding locks the invoice permanently; you cannot revise or credit it afterward. Create a new invoice instead if you need to rebill.
  • The status badge switches to Void and the record drops out of the recent list (but the direct URL remains accessible for history).

Marking payments

  • As soon as the customer pays, click Mark as paid (either here or on the list view). This switches the badge to Paid, clears the outstanding balance, and updates dashboards.
  • Marking paid is reversible via the backend action if you make a mistake, but the preferred flow is to leave it unless finance asks to revert.

Troubleshooting

  • Claim form button missing: Save a progress claim snapshot in Step 3 (use the job allocations tab) before marking the invoice sent.
  • Credit note button disabled: Either the invoice hasn’t been sent yet or there’s no outstanding balance left.
  • “Draft revision in progress” banner won’t clear: Finish editing in Step 4 and mark the invoice sent again.
  • Void action fails: Only admins can void invoices tied to paid jobs. Check your permissions or confirm the invoice isn’t already marked as Void.
