All Quotes
Why open this view
- See the 50 most recently touched quotes so nothing slips through the cracks.
- Filter by status to triage drafts, quotes waiting on customers, or converted jobs.
- Trigger the most common actions—send, accept, reject, start a revision—without leaving the list.
Page layout at a glance
- Row basics: Quote number, customer, status badge, last update time, and a three-dot actions menu.
- Badges under the quote number:
Revision in progressmeans someone unlocked the quote and is editing it.Variation #n draft/Variation #n sentflags a change order that still needs a decision.
- Quick controls: each row includes an eye icon for the preview modal plus View and Edit buttons, so you can skim the latest PDF, open the detail view, or jump back to the wizard without digging into the actions menu.
- Status chips across the top: tap a chip (Draft, Sent, Editing, Accepted, Rejected, Expired, Converted) to narrow the list. The All chip brings everything back.
- Search field: type part of a quote number or customer name; results update as you type. Search works together with the status chips.
Working the list
- Preview before you click: the eye icon opens a modal that renders the latest polish doc and exposes Open PDF / Download PDF links without leaving the table.
- Open or edit: click the row (or the View button) to open Quote Detail. Use Edit to jump straight back into the wizard (it lands on Step 2 with autosave ready).
- Status menu (Status button):
- Mark as Sent – publishes the latest saved version and stamps the sent date.
- Mark as Draft – reverts a sent or editing quote so you can keep iterating before it goes to the customer.
- Accept Quote / Reject Quote – record the decision once the client replies.
- Start Revision – available for
Sent,Accepted,Rejected, andExpiredquotes; it unlocks the record, sets the status toEditing, and routes you back to Step 3 so you can press Send revision when ready.
- Each action shows a toast confirming the result. If something fails (for example because the quote is locked elsewhere) the toast explains what to fix.
Reading the badges
- Revision in progress – someone reopened the quote. Check who’s working on it before making more changes.
- Variation badge – the quote ties to a job with an unfinished change order (
Variation #n draftorVariation #n sent). Click the row, open the Variations tab, and either continue editing, download the PDF to email manually, approve it, or discard/reject it before raising another.
Daily habits that help
- Morning sweep: filter to Sent, review anything older than a few days, and schedule customer follow-ups.
- Mid-week check: filter to Draft to close out half-started quotes or archive them if they’re no longer needed.
- End-of-week tidy: filter to Editing so you can resend open revisions or hand them back to the estimator.
- Combine the list with dashboard cards (“Quotes awaiting action”) to share workload across the team.
Troubleshooting
- Search finds nothing: clear the status chip first, then try the search again.
- Action menu greyed out: the quote may already be converted to a job. Open the row to confirm the status or raise a variation instead.
- Badge won’t clear: finish the linked task—resend the revision, approve/reject or discard the variation from Quote Detail, or mark the quote sent/accepted—to remove the warning badge.
