Quote Detail
When to open this page
Use the Quote Detail view whenever you need to:
- Check the latest status, totals, or expiry for a quote
- Send, resend, or convert a quote without reopening the builder
- Start a revision or raise a variation once work is underway
- Download earlier versions or confirm what changed and when
Page tour
- Summary header – shows quote number, customer, status badge, issued/expiry dates, the live version label (e.g.
Live version v5 — saved 2:14 pm), quick totals (subtotal, GST, grand total), and badges for active revisions or variation drafts. - Primary actions – buttons adapt to the status:
- Draft / Editing: Send quote or Edit & resend quote
- Accepted (no job yet): Create Job launches the job wizard with this quote pre-filled
- Converted: Create variation (instead of edit & resend)
- PDF controls – a split button opens the live draft PDF, downloads it, or lets you grab any archived version without leaving the page.
- Info icon – opens a short “What happens next?” explainer so the whole team stays aligned on revisions vs variations.
- Tabs – usually Overview (default), Versions, Variations, and Activity. Some organisations label Activity as Audit or History.
- Sidebar cards – highlight pending revisions, variations, or internal notes so you know where attention is needed.
Common tasks
Send the quote to the customer
- Review the summary and ensure totals look right.
- Click Send quote. ESS Admin stamps the sent date, locks the builder, and records the action in the timeline. (Email delivery isn’t wired up yet, so send the PDF manually afterward.)
- The status changes to
Sent, and the quote number badge updates on the All Quotes list.
Edit & resend a quote (revision)
Use this when the quote is still in the sales stage and the customer requests changes.
- Click Edit & resend quote.
- The status moves to
Editingand a banner appears to remind you the customer is still seeing the old version. - Update the quote through the builder (Step 3) and polish steps. Step 4 swaps in Preview revision (vN) / Download revision (vN) links so you can double-check the PDF before sending.
- Press Send revision (vN). ESS Admin saves the polish doc, publishes the latest version, and returns the quote to
Sentwith the new revision logged.
Convert a quote to a job
- Make sure the quote has been accepted (mark it Accepted if needed).
- Click Create Job. ESS Admin opens the job wizard with the quote details pre-filled.
- Complete the job wizard steps and create the job. The quote status changes to
Converted, the builder locks, and a View Job button appears on the detail header. - Any future scope changes now happen through Create variation.
Manage variations after conversion
- When the quote status is
Converted, the primary action switches to Create variation (only one draft/sent change order can exist at a time). - The variation workspace opens with the full builder on the left and a summary column on the right (financial delta, crew instructions form, “Next steps” reminder).
- Save your edits, download the PDF from the Next steps card, and send it to the customer manually—email delivery intentionally stays outside the app.
- Back on Quote Detail, open the Variations tab (or use the banner shortcut). You’ll see the draft card with:
- Continue editing – jumps back into the workspace
- Download PDF – mirrors the workspace download button
- Mark customer approved – records the decision, stamps a sent time if needed, and applies the change
- Discard draft / Reject variation – clears the draft if it never left, or records a rejection if it had been sent
- Approving the variation updates the job’s crew instructions, financial allocations, and progress totals in the same transaction, sets the variation to
Accepted, and clears the header badge. Rejection restores the baseline snapshot automatically.
Download or restore a previous version
- Open the Versions tab.
- Each entry lists the version number, when it was captured, who saved it, and quick links.
- Click Download PDF to grab the customer-ready document for that point in time.
- Select Restore (if enabled) to roll the quote back to that version before resending.
Check who changed what
- Go to the Activity (or Audit) tab.
- Entries show the team member, the timestamp, and a summary of the change (e.g. “Line item updated”, “Status marked Accepted”).
- Use the filters or pagination controls to find the moment you need.
Status cues & banners
- Draft – quote is being prepared. You can edit freely or send it when ready.
- Editing – someone unlocked the quote. A yellow banner reminds the team to finish and resend it.
- Sent – customer-visible version is locked. Use Edit & resend to unlock, then Send revision from Step 4 when the edits are ready.
- Accepted / Rejected / Expired – quote is locked until you start a revision. The banner explains why and provides the unlock button.
- Converted – base quote is read-only. Use the variation workflow for changes.
- Variation badge – shows
Variation #n draftorVariation #n sentso you know a change order still needs follow-up.
Notes & attachments
- Internal notes entered during the wizard appear in the Overview tab. Use them to capture context for operations or finance.
- Photo links added to line items show up in the line item details so you can confirm what was shared with the customer.
Troubleshooting
- Can’t edit the quote – check the banner. If it says the quote is sent or accepted, click Edit & resend quote to unlock, or use Create variation if the quote has already become a job.
- Variation badge won’t clear – finish the draft in the variation workspace (approve, reject, or discard). The badge disappears as soon as the variation is resolved.
- Wrong version downloaded – use the PDF split button in the header to pick the live draft, download it, or open an older version. The Versions tab also lists every snapshot with dedicated download links.
- Need to see older activity – use the date filters or “Load more” at the bottom of the Activity tab to bring earlier entries into view.
