Jobs List

Purpose

Use the jobs list to see every job currently in flight, confirm who is responsible, and move work forward without leaving the overview. It mirrors /app/jobs in ESS Admin so the office, business owner, and field coordinators stay aligned.

When you open the list

  • The 100 most recently updated jobs appear with the newest changes at the top.
  • Each row opens the job detail when you click anywhere on it; the View button on the right does the same if you prefer a dedicated link.
  • The New Job button in the top-right launches the three-step job wizard for new work.

  • Select a status chip (All, Created, In Progress, Finalized) to focus on the jobs relevant to the task in front of you.
  • Use the search box to type any part of a job number, job title, customer name, team name, or quote number—results narrow as you type.
  • Combine a status chip and a search term to zero in on exactly what you need (for example, select In Progress and type part of a customer surname).

Read a row at a glance

  • Job column: shows the job number (or title if no number yet), the job title in smaller text, and when the job was created.
  • Revision indicators: a Pending revision badge appears when a change order is still in draft or waiting on approval. The Latest accepted revision # text confirms which scope the crew should follow.
  • Status badge: highlights whether the job is Created, In Progress, or Finalized.
  • Billing stage badge: tells you if the job is Unbilled, in Progress (with how many claims have been raised), or Fully billed.
  • Team column: lists the assigned crew. If you see Unassigned, open the job to confirm who will attend or schedule it from the board.
  • Client / Quote column: shows the customer. A quote link appears for jobs created from a quote; Client TBD appears if you still need to confirm the customer; Manual job marks ad-hoc work.
  • Updated column: shows the last activity time in your local timezone so you can see what changed most recently.

Acting on a job

  • Click the row or the View button to open the job detail screen for scheduling, crew instructions, attachments, and history.
  • Use the Status button in the Actions column to move a job that has not yet been finalized:
    • Mark as Created returns the job to planning when work is on hold.
    • Mark as In Progress flags that the job is underway or booked with a team.
    • Finalize job closes the job and records optional wrap-up notes. Outstanding schedule entries must be completed or cancelled first.
  • The dropdown also includes Open in schedule, which jumps straight to the scheduling board filtered to that job.
  • Once a job shows Finalized, the system prevents further changes, including status updates.
  • After you select an action the list refreshes automatically once the toast confirmation appears.

Workflow examples

Prepare tomorrow’s work

  1. Select the Created chip.
  2. Scan the Team column for Unassigned jobs and open them to assign a crew or confirm the planned start date.
  3. Use Open in schedule for any job that needs a calendar check or to coordinate multiple teams.

Keep tabs on live jobs

  1. Select the In Progress chip.
  2. Check the Updated column to see which jobs have recent activity.
  3. When a customer calls, type their name in the search box and open the row to review notes or update progress.
  4. If a job pauses, use Mark as Created so the team knows it needs rescheduling.

Close out finished jobs for finance

  1. Stay on the In Progress chip and identify jobs with all field work complete.
  2. Review the Billing stage badge—Unbilled means finance still needs to raise the invoice, while Progress shows how many claims exist.
  3. Finalize the job once paperwork and site checks are complete. The job moves under the Finalized chip and becomes review-only.

Troubleshooting

  • Status change isn’t available: the job is already in that status or has been finalized.
  • Error when finalizing: ensure every schedule entry is either Completed or Cancelled, then try again.
  • Pending revision badge won’t clear: approve, reject, or discard the change order on the job detail (or the linked quote) so the badge disappears.
  • No results after searching: clear the status chip (set it back to All) and try again, or open the job from its quote if it hasn’t been updated recently.

  • Create Job wizard – step-by-step for starting new jobs from quotes or manually.
  • Job detail – full breakdown of schedule, crew brief, progress claims, and history.
